Title: Events and Logistics Coordinator

Greenpeace Africa is seeking an experienced events and logistics coordinator,to support our internal Board meeting preparations for a maximum of 3 days a week for the period between June 11th to July 11th 2025.These resource will play a crucial role in ensuring efficient,cost-effective and sustainable delivery of all associated activities.
Scope of Work
● Develop and manage an event timeline and logistics plan for the board meeting activities.
● Source and negotiate with vendors,and suppliers ensuring value for money (catering, transportation, gifts & souvenirs accommodation and board engagement day events etc.)
● Manage the board meeting event registration at the Karura Forest, support in developing and circulating the events communication and provide on-site support to staff and the Board members.
● Ensure all events and activities comply with relevant legal and regulatory requirements and Greenpeace Africa SOPs.
● Conduct post-event evaluations and prepare reports on event success and areas for improvement.
● Monitor vendor service delivery and ensure adherence to quality standards.
● Process vendor payments and invoices in consultation with GPAF Finance and Admin office.
Required Qualifications and Experience:
● Relevant Bachelor’s degree in Business Administration with specialisation in Logistics and events management,or a related field.
● Minimum of 5 years of experience in event planning and logistics coordination for high level regional events, preferably in the non-profit sector.
● Proven track record of successfully managing a variety of events, including board meetings and public engagements.
● Strong organizational and time management skills, with the ability to manage multiple projects simultaneously.
● Excellent communication and interpersonal skills.
● Experience in budget management and financial reporting.
● Ability to work independently with flexibility to address adhoc requests.
● High Integrity on handling confidential data
● High degree of accuracy and attention to detail

● Regular progressive activity reports.
● A clear detailed logistics plan with timelines.
● Investigated and booked ideal venues for the all Board engagement meetings and activities.
● Draft pieces of communications to staff and Board meeting attendees.
● Well managed programs for the events in adherence to the set timelines.
● Delivery of gifts and souvenirs for the Board members.
Reporting:
The consultant will report to the Regional Coordinator East Africa and work closely with Finance.
